Understanding Different User Roles in SimTrain Eco

When multiple staff members are involved in running a learning centre, whether it is a kindergarten, a tuition centre, or a music academy, assigning the right access levels is essential for smooth daily operations. Some staff handle enrolments and billing, while others focus on teaching or managing reports.

To maintain control, SimTrain Eco provides predefined user roles*, each with tailored permissions that match their respective responsibilities. This ensures that everyone can perform their duties efficiently, while sensitive data remains secure.*

Here’s a breakdown of the available roles and what each one can do in the system.

1. Admin — Full Access and Control

The Admin role has complete system access.

They can manage all functions, including:

  • Creating and updating user accounts

  • Setting permissions

  • Managing organisation information

  • Accessing all reports, transactions, and configurations

Admins are typically system owners or centre directors who oversee the entire operation. They ensure that data, users, and billing are handled correctly and securely.

2. Manager — Operational Control with Restricted Settings

The Manager role enjoys a permission set similar to Admin, but with a few limitations.

Managers can perform most day-to-day operations, such as:

  • Managing student enrolments, billing, and transactions

  • Viewing and generating all major reports

  • Overseeing classes, tutors, and schedules

However, Managers cannot:

  • Add or remove users

  • Change user permissions

  • Modify organisation information (such as company name, address, or business details)

This setup prevents unintended changes to sensitive system settings while still empowering Managers to handle operations independently.

3. Executive — Core Transactions Without Sensitive Access

Executives are typically front-desk or admin staff responsible for handling registrations, invoices, and general centre operations.

Their permissions are more restrictive than Managers:

  • They can enrol students, create invoices, and record payments.

  • They can view student and class information.

However, they cannot access financial reports such as:

  • Fees Collection Reports

  • Student Ledgers

Additionally, Executive users do not have access to teachers’ personal details or the Teacher Commission Report.

This balance ensures they can carry out most administrative tasks without viewing data that should remain private to management.

4. Cashier — Focused on Billing and Payments

A Cashier user’s role is straightforward — to manage daily billing and payment transactions.

They can:

  • Enrol students

  • Create invoices

  • Record payments

Reporting-wise, Cashiers can only view:

  • Daily Collection Reports

  • Basic student-related reports like Attendance Checklists and Student Enrolment Summaries

Their access is intentionally limited to prevent exposure to broader financial data, keeping the centre’s accounting and student information secure.

5. Teacher — Academic View Only

The Teacher role gives tutors controlled access to the system — just enough for them to manage their teaching tasks without touching billing or administrative functions.

Teachers can:

  • View their class schedules

  • Update student attendance for their assigned lessons

They cannot access student billing, reports, or administrative data. This ensures focus on teaching and privacy for both students and the centre.
