How Tuition Centre Admins Can Manage Students Who Stop or Pause Lessons

Every tuition centre admin knows the feeling — a parent calls or messages to say,

“My child needs to stop lessons for a while,”

or

“We’d like to withdraw from the class.”

Whether it’s for school exams, family holidays, or schedule conflicts, these requests are part of everyday operations. However, for admins, such changes can be tricky — especially when invoices have already been issued or billing runs are completed in bulk.

That’s where SimTrain Eco comes in. The system is designed to help administrators handle lesson pauses or student withdrawals efficiently, ensuring that billing remains accurate and reports stay clean. No manual deletions or spreadsheet juggling are needed.

Here’s how you can manage student pauses and stops properly in SimTrain Eco.

1. When Students Request to Stop or Pause Lessons

When a student requests to stop attending lessons — either temporarily or permanently — the first step is to record their details. Identify which class or subject they want to pause and from which date.

Then, proceed to pause the lesson in SimTrain Eco.

⚠️ Important:

To effectively pause a lesson, there must be no invoice issued within the same period as the lesson that is about to be paused.

2. For Temporary Lesson Stops

If the student plans to come back after a break, follow these steps in SimTrain Eco:

  1. Assign the Stop Date (the date the student stops attending).

  2. Select the Stop Reason (e.g. exam break, travel, health issue).

  3. Tick the Temporary Stop checkbox.

  4. Set the Plan Return Date.

This tells the system that the lesson is only on hold, not permanently stopped — making it easy to reactivate the student later.

3. For Permanent Lesson Stops

If a student decides to end lessons permanently, simply:

  1. Assign the Stop Date.

  2. Select the Stop Reason.

No need for a return date as the system will record this as a full stop.

4. When a Student Stops All Lessons

If a student stops all their lessons (temporarily or permanently), update their profile status directly:

  • Change the Status from Active to Temporary Stop or Stop.

  • Assign the Leave Date and select the Stop Reason before saving.

This ensures the student’s overall status is correctly reflected in your records, preventing any accidental inclusion in future billings.

5. Reactivating a Student Who Returns

When a student decides to resume lessons after a break, SimTrain Eco allows you to reactivate their profile effortlessly:

  1. Go to the student’s profile and change their status back to Active.

  2. Configure the Plan Return Date, which indicates when the student will start attending lessons again.

  3. Select the New End Date, which can be the same as the Plan Return Date.

This ensures both recurring items and lessons are aligned with the student’s return schedule — keeping billing consistent and error-free.

6. How It Affects Billing

Once a student’s lesson or profile is marked as Stop or Temporary Stop, SimTrain Eco automatically excludes them from bulk billing.

That means when you generate invoices for all active students, those who have paused or stopped lessons will not be billed, keeping your accounts neat and accurate — without extra manual checks.

7. How to Monitor Stopped Students

Admins can easily keep track of students who have paused or stopped lessons:

  • Go to the Students Page.

  • Use the Status Filter to view Temporary Stop or Stop students.

  • Export the list to a .csv file for reporting or record-keeping.

Alternatively, you can use the Temporary Stop Students Report, which gives you a complete view of all temporarily paused students.

This report can also be downloaded as a .csv file, making it convenient to share or review with management.
